Studio Use Agreement & Booking Guidelines​​​

1. INTRODUCTION

By booking and paying for your studio session, you agree to the policies and terms outlined below. These guidelines are in place to keep the space safe, respectful, and functional for all creatives.

2. STUDIO CARE & CONDUCT

Please treat the studio and all items with care and respect throughout your session.

  • You're welcome to rearrange furniture, but everything must be returned to its original position before leaving.

  • Please do not move or touch the mirror or backdrops. Please let us know before your shoot date, and we can move these items for you. If you need it moved during your content shoot, please get in touch with Aimee Joe.

  • Shoes are not permitted on the backdrops. If required for your shoot, please ensure they’re wiped clean and only worn on the backdrop when necessary. Visible shoe marks and/or damage to the backdrops will incur a $50 damage fee. This ensures the space stays fresh and usable for all clients.

  • Snacks and water are absolutely fine — please keep them on tables and clean up any mess before you leave. Food and drinks are not permitted near equipment or backdrops unless approved in advance.

  • All studio items, including furniture, props, and included gear, must be treated with care. If any item is damaged, broken, or permanently marked during your booking, the cost of repair or replacement will be charged to you.

3. ADDRESS & PARKING

  • Please enter via the black gates.

    • You may use up to two car parks unless a Stay Qreative member is present — in that case, only 1 spot is available for you.

    • The remaining car parks are reserved for other businesses — please do not park in those spaces.

  • Additional vehicles can be parked on the street.

  • The Qreative Studio is located on the second floor to the right. Please be mindful of the businesses below and across from Stay Qreative when arriving or leaving the space.

4. ARRIVAL & ACCESS

You’ll be met at the front door at your scheduled session start time, unless arranged otherwise. If you arrive early, please wait until your booking begins.

  • Stay Qreative’s studio is located upstairs, via the staircase on your right upon entry.

  • Your booking time includes setup and pack-down, so please arrive ready to begin on time.

5. PACKING, OVERTIME & CLEANUP

  • You have 15 minutes after your session ends to pack up and clean — this time is not for additional shooting.

  • If you go over your booked session time, overtime fees will be applied - $100/hour, billed in 30-minute increments. Please note that another session may be scheduled immediately after yours.

  • If you wish to extend your shoot, please check with Stay Q first. Extensions are only possible if there are no bookings scheduled after your session. Approved extensions will be charged at the standard booking rate, not the overtime rate.

  • Before leaving, please switch off all lighting, heating/aircon, and any extra equipment used during your session.

6. PRIVACY & SECURITY

For your safety and timing check-in/out verification, the studio and foyer of the building, are monitored by security cameras.

  • One camera is placed inside the Stay Qreative studio. Please note — no audio is recorded.

  • Tampering with Stay Qreative’s security camera will incur a $100 fee, plus any additional costs for repair or replacement if damage occurs.

  • Changing options:

    • A downstairs male and female bathroom are available downstairs for outfit changes.

    • A pop-up privacy tent is included in your booking and can be set up in-studio for quick changes.

7. EQUIPMENT USE & RENTALS

​The following studio essentials are included free of charge during your session:

  • Backdrops

  • In-house lighting gear

  • Tripods

  • Styled furniture

  • A cabinet of additional gear, decor props + flat lay backdrops

We also offer additional gear for hire, including but not limited to:

  • Cameras & lenses

  • Audio gear

  • Gimbals & creative tools

All rentals must be requested in advance.

A $100 refundable bond applies to rentals. This will be returned within 48 hours post-session, provided all items are returned in their original condition.

8. DAMAGES & LIABILITY

  • You are responsible for any damage caused by yourself or your guests during your session.

  • If any studio property — including equipment, props, furniture, or fixtures — is damaged, repair or replacement fees will apply. All incidents will be assessed on a case-by-case basis.

  • While Stay Qreative is covered by insurance to protect our space and assets, this does not extend to your personal equipment or belongings. Please take care when using your own gear on-site.

9. CANCELLATIONS & RESCHEDULING

  • No refunds are provided for cancellations or no-shows.

  • To be eligible for a reschedule or credit, cancellations must be made at least 48 hours before your session.

  • Cancellations within less than 48 hours of the session are not eligible for credit.

  • If you arrive more than 30 minutes late without prior notice, you may still proceed with your session; however, it will end at the originally scheduled time.

10. SHARED SPACE ETIQUETTE

  • All bookings are strictly limited to Stay Qreative’s 42sqm content studio, the kitchenette, and the two downstairs toilets. The foyer, upstairs space opposite Stay Qreative’s content studio, and any other rooms in the building are not part of your booking. These spaces are occupied by other businesses and must not be used for waiting, storage, or filming. Please ensure your clients, crew, and guests are aware of these boundaries before arrival. Any unauthorised use of other areas will incur a $200 penalty fee, charged to the booking holder.

  • Our building is shared with other businesses, so please be respectful when using common areas such as bathrooms and the communal kitchen.

  • You’re welcome to use the kitchen cupboard labeled “Stay Qreative” during your session.

  • The microwave, kettle, and fridge are also available; please be mindful to leave enough space in the fridge for other businesses and their guests.

  • You may notice ambient noise from surrounding units — this is beyond our control, and we appreciate your understanding.

  • Feel free to play music during your session, but keep the volume at a respectful level. Excessive noise, loud bass, or disruptive sounds are not permitted as we share the space with others. Persistent loud noise may result in a request to lower the volume or, in rare cases, early termination of your session without refund.

11. SESSION USE & GUESTS

  • Your booking must accurately reflect the intended use as stated in your booking form.

  • Only individuals directly involved in the shoot are permitted to attend the session.

  • Any misuse or misrepresentation of the booking may result in immediate session termination without refund.

Discounts —  

  • Referrals you send our way will earn you a $50 credit to use toward your next month’s service or any other Stay Qreative service. To qualify, your referee must mention your name during their discovery call — and they’ll receive $50 off their first service too.

12. CONTENT OWNERSHIP & USAGE

You retain ownership of all content created during your session. Stay Qreative reserves the right to use images and videos from your session for promotional purposes, including on our website and social media, unless you request otherwise in writing prior to the session.​​​​​​
